Hawksworth Restaurant Family Focused wedding

Hawksworth Restaurant is located inside the Rosewood Hotel Georgia in Vancouver, BC, Canada. The restaurant leases out the York room which is an adorable banquet room within the hotel. It’ has a stunning stained glass door which was the backdrop to the ceremony.

The Vision: Y&C are very camera shy so planning a wedding in a small and intimate room was a little challenging. As part of our Wedding Planning process, we first outlined the goals and vision. They had several goals:

All activities contained in one location
Only close family and friends
Elevated experience
Amazing Food
Easy going vendors
Meaningful and short wedding ceremony (they don’t like attention)
Fun games & Dance Party
Beautiful decor and florals to compliment the space
They also needed someone to direct them with the planning and handle things on the day as they didn’t have much wedding experience.

The Plan: Once we determined their vision, and an approximate number of guests, the venue part was easy. The question was weather or not they can all fit in this space. That was the challenging part. After many floor plan revisions and considerations, it was determined that the best course of action was:

Ceremony in front of the stained glass (this was essential for them)
Guests seated at the dinner tables during the ceremony (they wanted to keep it simple and there simply wasn’t enough room for traditional seating. They also didn’t want to move to a different room so this was the only option with this many guests. Besides, they didn’t’ really want so much attention during the ceremony so having them spread out helped)
Couple portraits before the ceremony so the celebration can continue right after the ceremony. Photos were done across the way at the Vancouver Art Gallery and in the hotel.
We created a beautiful colour coordinated itinerary so everything was easy and smooth for all vendors and VIP’s to execute.
Interactive experiences for the guests. We incorporated activities for the guests right at the beginning of the event as they arrived. This encouraged engagement early. It was a wonderful ice breaker.
Family is very important to the both. To symbolize the unity of two families, we incorporated a unity candle celebration into the ceremony. It was a beautiful and touching way to acknowledge and bring both families together.
We had about 4 planning sessions to achieve a clear plan.

The Day: Once the day finally came, everything really did run so smoothly. We had our Day of Coordinator on site to ensure everything ran smoothly. We had a few fires to put out as a few people forgot certain things and/or were late but nothing we couldn’t handle. That’s why they hire the pros, right! The couple were nervous to start during the photo shoot but as you’ll see in the photos, they definitely loosened up as the night went on. We built in enough “buffer zones” and interactive experiences such as a game to help break the ice. Once everyone was ready for dancing, we moved a few tables and the dance floor was packed all night long. I love this part of the night, as the transportation is massive. It’s funny how when the lights go down, the DJ lights turn on and a few awesome tunes are played how it turns into a great party.
